How the example works

$9,000 fixed + 80 guests × $85 + $1,200 other quoted charges = $17,000. A 10% allowance adds $1,700, giving $18,700 overall or $233.75 per guest. Against a $20,000 ceiling, $1,300 remains. Twenty more guests add $1,870 under these assumptions.

Average cost is not the cost of one extra guest

Fixed costs are spread over the guest count. Adding a guest usually changes the variable portion, while crossing a venue or package threshold can change fixed costs too. Update both when a vendor quote changes.

Do not add a charge twice

Check whether each vendor quote includes service charges and taxes. Enter additional charges only if they are not already counted in the fixed or per-person inputs. This tool does not calculate or interpret tax requirements.

Use the actual charging structure
